Official rules for Artists and Voting

OFFICIAL RULES FOR ARTISTS

Eligibility: Anyone is eligible to enter Art & Soul of the Magic Valley. Students entering the Youth Competition must have signed, written permission from a parent or guardian.
Artist: An art entry may be made by a solo artist or by a group of collaborative artists. All artists, whether individual or collaborative, are subject to the rules of the contest.
Entry: Each artist or group may submit only one entry, in one category. An entry may involve multiple pieces with a common theme. Each entry will pay a one-time non-refundable entry fee.
Voting: Entries will be judged by public vote. Voting is free but the public must register to vote at the Magic Valley Arts Council, 195 River Vista Pl., Twin Falls, ID during the contest dates (June 25 – July 10, 2021). Each voter will be instructed to cast votes for their favorite entry in each of the nineteen (19) categories or cast a vote for nineteen (19) entries. Voters may select to vote online or return registered ballots to the Magic Valley Arts Council prior to contest closing.
Winner Selection: The voting process will determine the winners based on the number of votes each artist receives. Winners will be announced at the Awards Ceremony on Friday, July 23, 2021 at 7 pm and will be notified by email no later than July 16, 2021.

Specific Rules for Artists in Main Contest:
1. The entry must be displayed in a registered contest Venue and the artist must be sponsored by a registered Sponsor (see FAQ section for more information on Sponsors and Venues).
2. Each entry must be installed by June 20, 2021, unless approval has been received by the Art & Soul Organizing Committee. The entry must be exhibited the entire length of the show: June 25 – July 10, 2021.
3. Artist registration must be received by the Magic Valley Arts Council by midnight March 27, 2021.
4. Venue and Sponsor matching agreements must be completed by May 14, 2021.
5. Only original work is eligible for submission. The artist is responsible to ensure the work does not infringe on any third-party rights. Work created from kits is not allowed for entry.
6. The artist is responsible for all transportation, installation, and removal of their entry unless other arrangements have been made with the Sponsor or Venue or Magic Valley Arts Council staff.
7. The artist is responsible for liability, security, and meeting any state and local codes unless other arrangements have been made with the Sponsor and Venue.
8. Artwork entered in previous Art & Soul of the Magic Valley Contests is not allowed.
9. The Grand Prize Winner of Art & Soul is not eligible to enter in the immediately following year.
10. Artwork may be listed for sale and will be advertised as such. A 20% commission fee must be paid to the Magic Valley Arts Council for the sale of any Art & Soul entry between June 1-August 10, 2021.

11. Entries sold during the contest dates will only be available for removal at close of show.
12. Art & Soul of the Magic Valley reserves the right to use all information on imagery and documentation of the artist pertaining to the entry provided by the artist for press releases, promotional materials, displays and exhibits associated with events which may include textual, audio, or visual representation.
13. General Conditions: Awards are made in the form of lump sum cash payouts, reported to the IRS. Tax liabilities (federal, state, and local taxes) are the sole responsibility of the winners. By acceptance of the prize, the winner agrees without limitation to the use of his/her name, photograph and/or likeness for publicity purposes without any additional compensation. Artist agrees to be bound by these rules and the decisions of the Art & Soul producers, which are final and binding in all matters regarding this event. Artists and Venues agree that the event and its representatives, affiliates, agents, directors, officers, and employees have no liability whatsoever for any injuries, losses or damages of any kind relating to or arising from this event or resulting from participation in this event.

LIABILITY WAIVER
By my participating in Art & Soul of the Magic Valley, I agree to indemnify and hold harmless Art & Soul of the Magic Valley, its committee members and volunteers, the venue exhibiting my artwork, its employees, the Magic Valley Arts Council, its employees and volunteers, Magic Valley Arts Council Board of Directors and representatives concerning all liability for any damages to real and personal property or any loss of life or personal injury that may be sustained in connection with any exhibition of the artist’s work.

All artists are advised to carry their own insurance. Claims for damage or loss during delivery or showing will be the artist’s responsibility.

The artist also agrees to abide by all rules and regulations set by the Magic Valley Arts Council.

AGREEMENT TO PARTICIPATE
Submitting the entry form below indicates that you agree with the conditions of entry and exhibit as outlined in this prospectus, that you are reserving spots in our jury, that you will send the entry fee, and that you agree to make your work available and will ship/deliver it to the gallery by the date specified should it be selected for exhibit.

DO NOT submit an entry form if you cannot follow through. Do not double-book your work, commit it to other conflicting exhibitions, or sell it without securing its availability for our exhibit, after submitting to this project.

Voting: Entries will be judged by public vote. Each voter casting votes in the Youth Contest must vote for their favorite four (4) entries per division. A voter may vote in one division or all four (4) divisions. Youth Contest Divisions are Elementary K-2 (Grades K-2nd), Elementary 3-5 (Grades 3-5), Middle School (Grades 6-8) and High School (Grades 9 – 12).
Voters may select to vote online or return registered ballots to the Magic Valley Arts Council prior to contest closing.

6. Participants will be notified the date, times and location the artwork can be delivered.
